Executive summary

Cable Beach Club Resort & Spa is a luxury escape on the stunning coastline of Broome, Western Australia, offering guests a blend of relaxation and indulgence with its beachfront views, elegant rooms, and world-class facilities.

But during cyclone season, the resort faced a serious challenge: keeping guests safe and informed.

Their previous software made it hard to see room bookings at a glance or communicate quickly with guests, especially in emergencies. That changed when they switched to RMS. With real-time booking visibility and direct messaging tools, staff could respond faster, coordinate evacuations more smoothly, and keep guests in the loop.

The result? A safer, more confident experience for guests and a more efficient operation for staff, all while maintaining the high standards Cable Beach Club is known for.

We changed to RMS to find a solution that could handle the large capacity and turnover of guests. RMS made that relatively easy, and what got me over the line was the communication tools through SMS and triggered correspondence.

Challenges

During cyclone season, Cable Beach Club faced a significant crisis management challenge.

  • Guest safety was hard to manage. Their previous software lacked visibility and didn’t provide a clear view of bookings and rooms on a single screen, making quick evacuations during emergencies difficult. Management also needed faster updates to respond effectively.
  • Clear guest communication was difficult. Staff had no easy way to share important safety information with guests. They relied on bulletin boards and meeting points, which often left guests concerned. Many ended up at the front desk looking for answers.

The resort needed a better system, one that combined bookings, guest data, and communication in one easy-to-use platform.

Solutions

To address its cyclone season challenges, Cable Beach Club implemented RMS, a unified, cloud-based property management system that streamlined operations and improved guest communication.

Centralized booking visibility
RMS provides a single-screen view of bookings, custom lists, and operational data to make fast, informed decisions.

Cloud-based operations: The resort removed the need for third-party software. Staff now manage 235 high-turnover rooms efficiently, with access to reporting tools and end-of-day settlements from any device.

Guest portal: To provide guests with mobile access to their bookings, room service, and staff communication, enhancing convenience and supporting the resort’s digital strategy.

Real-time communication
Using RMS’ direct SMS messaging and custom form letters, staff can instantly reach guests with important updates, keeping guests informed.

Results

RMS helped Cable Beach Club respond faster and communicate more clearly during cyclone season.

  • Staff now send real-time updates to guests, which has reduced the number of people coming to the front desk with questions. Guests feel more informed and confident, leading to higher trust and satisfaction.
  • Management can see all bookings and room data on one screen, making it easier to run operations and plan evacuations.

Overall, RMS has made emergency management simpler, more transparent, and more effective, keeping both guests and staff safer.
