Executive summary

Oslofjord Convention Centre, Norway’s largest conference and event venue, spans 10 hotel buildings, five arenas, and over 1,600 accommodation units. Hosting up to 12,000 guests at a time, the team needed a scalable, intuitive platform to manage complex group logistics, automate bookings, and empower temporary staff to onboard quickly.

The need for a centralised platform to manage large-scale events

Since implementing RMS, Oslofjord has automated over 30,000 bookings annually, significantly reducing manual workload and minimizing errors. The platform has enabled the team to upsell extras such as additional nights and amenities during the booking process, creating new revenue opportunities. With real-time reporting and a fully centralised view of operations, Oslofjord now has complete visibility across its accommodation, event logistics, and guest flows, even during its busiest, high-capacity events.

We needed a robust PMS that could streamline our booking process and ensure it was one hundred percent correct, every time. Having researched a total of 15 vendors and receiving proposals from five, RMS had the best functionality at the most competitive price point.

Challenges

Managing one of Europe’s largest multi-use venues, Oslofjord needed to coordinate thousands of guests, over 1,600 accommodation units, and complex event logistics, while maintaining a premium experience. Manual processes made this increasingly difficult, particularly during peak periods and when relying on temporary staff. The team also wanted to offer upsells like towels and extra nights without creating friction in the booking journey. To streamline operations and support future growth, Oslofjord needed a centralised, scalable system.

Solutions

Oslofjord partnered with RMS to implement a scalable, cloud-based platform that could support the complexity of large events. The PMS helped to centralise accommodation operations, automates high-volume bookings, and improve coordination across departments. Key features include:

Event coordination made easy: Custom workflows help manage logistics across large-scale events.

Real-time visibility: Live reporting gives the team full control across 1,600+ units.

Flexible configuration: The system adapts to Oslofjord’s unique setup and changing event needs.

Group bookings simplified: RMS allows bulk guest allocations and group check-ins from a single dashboard.

We don’t have the luxury of spending time training staff on our systems so it was essential that the software we chose was extremely user-friendly. Our team has already reported that RMS is very easy and intuitive to work with.

Adopting this new system has given our staff the tools they need to easily sell extras from reception such as an extra night or more towels. Before the implementation of RMS, this was something that was difficult to facilitate. Obviously, we want to make upselling as easy as possible for our team, so this is a huge benefit.
